We are seeking a talented and highly motivated professional to serve as the Executive Assistant to the CEO & several Senior Executives.

  • Work independently on several projects (conception to completion) & no projects/tasks are too small
  • Previous experience in a fast-paced company working with high-profile individuals, orchestrated complex events, and managed office spaces efficiently & within budget
  • Must be in office 5 days a week (near Downtown Nashville)

Roles & Responsibilities:
  • Completes a broad variety of administrative tasks including: managing an active calendar of appointments and meetings, booking conference rooms, assisting with catering, expense reports, correspondence that is often confidential, arranging complex and detailed travel plans, structuring itineraries and agendas, and compiling documents for travel-related meetings
  • Plans, coordinates and ensures schedules are followed and respected, anticipating changes and making suggestions based upon location of travel and keeping an active log of all potential future meetings and commitments
  • Builds relationships crucial to the success of the organization
  • Assist with general office needs including stocking kitchen and copy rooms, ordering supplies as needed, and submitting requests to the building for facility maintenance

Qualifications:
  • Strong organizational skills; ability to perform and prioritize multiple tasks seamlessly with strong attention to details
  • Excellent interpersonal skills; ability to build relationships with stakeholders, including other staff, board members and external partners
  • Highly responsive to emails and dependable follow-through
  • Ability to plan events with high attention to detail and ensure positive participant experience
  • Ability to work in a confidential work setting, ability to use discretion assertively
  • High emotional intelligence
  • Bachelor’s Degree & Proficient in MS Word, Excel, Outlook, PowerPoint a plus
